Working with Professional Travel: What to Expect

The initial assessment

Before you formally engage us, we will conduct an extensive travel spend assessment for your organization. We look at things such as how many of your employees travel and why, the suppliers you use most frequently, your average purchase price and overall traveler satisfaction. Our goal is to uncover areas of opportunity and cost savings in your current travel program, and then formulate a clear and concise action plan. This assessment is generally free, but if for any reason we have to charge a fee, it is always credited back to you when you decide to work with us.

Assembling the team

Once you decide to work with us, as part of your onboarding process, your organization will be assigned a Professional Travel account manager who will serve as your main point of contact and the liaison between your company and our team. This means that you’ll always know who to call if you have a question or an issue, and that you’ll always receive a response or a solution in a timely manner.

We also examine your business travel needs and assign other team members to your account based on their expertise. You can feel confident knowing that your dedicated team will be made up of individuals who specialize in precisely what your account requires to succeed.

Creating a custom plan

Next up, our team works with you to establish a completely customized travel policy. In general, travel policies establish firm guidelines surrounding preferred suppliers, the booking process, expense limits and safety information. It’s important for every company to have a travel policy, whether they have one employee traveling or 10,000. Once the travel policy is complete, a go-live date for the program is established.


Professional Travel’s implementation plan usually takes between 45 and 60 days. While this implementation requires cooperative effort from the client, we take the lead and do all of the heavy lifting, managing and driving the process, making it as seamless as possible.

Monitor, adjust, repeat

After the program’s go-live date, the real work begins. The newly implemented travel program is constantly monitored to ensure it is performing optimally. Surveys are conducted to measure traveler satisfaction and quarterly business reviews are utilized to ensure the program is meeting or exceeding your goals. We understand that a company’s travel plan is not set in stone and should evolve as the market and the needs of the business change.
